Common problems

What can go wrong with email at your domain

Email at your own domain (like you@yourbusiness.com) depends on several settings working together. When one is missing or wrong, mail quietly stops arriving or gets flagged.

๐Ÿ“ญ

Not receiving email

Missing or wrong MX records send your incoming mail to the wrong server, or nowhere at all.

๐Ÿšซ

Emails going to spam

Without SPF, DKIM and DMARC records, Gmail, Yahoo and Outlook can't confirm the mail is really from you.

โ†ฉ๏ธ

Messages bouncing back

Rejected sends, "mailbox full" errors, or a provider blocking your messages as unverified.

๐Ÿ”€

Broke after a website move

Switching web hosts or nameservers can wipe out your email records without anyone noticing.

๐Ÿ“ฑ

Phone or Outlook won't connect

Wrong incoming/outgoing server settings, ports or passwords keep apps from syncing your mail.

โณ

Expired domain

When a domain lapses, the website and every email address on it stop working at once.

DNS in plain English

The records behind your email

DNS records are the instructions the internet follows to deliver your mail. Here's what the main ones do.

MXWhere your mail goes. Points incoming email to your provider, like Google Workspace, Microsoft 365 or your web host.
SPFWho may send for you. Lists the servers allowed to send email from your domain.
DKIMA digital signature. Proves each message really came from you and wasn't altered.
DMARCThe rulebook. Tells inboxes what to do with mail that fails SPF or DKIM, and sends you reports.
